A father comes to your food pantry in January. In March, he will finish your job-readiness course. By June, he’s asking about housing support. That’s a story of real progress, and it’s exactly the kind of story your board and funders want to hear.

In Nonprofit Cloud, he has one record, and every program he joins connects to it. Case managers see his full journey in one place, leadership can report outcomes across programs, and he’s counted once, not three times. That connection runs through Program Enrollments. Here’s how they work and where they fit in your Salesforce data.

Example of a program enrollment record, linking a person to a program from which they receive benefits.

How Program Enrollments Fit with Salesforce Objects

Program Enrollment is a standard Nonprofit Cloud object, and it sits in the middle of a short chain:

  • Program is the service area itself, like job placement or housing. Programs can nest under a parent Program if you need a hierarchy.

  • Program Enrollment connects each constituent to a single Program. It stores the status of that relationship (Applied, Completed, or Withdrawn), along with the application, start, and end dates, and attendance counts.

  • Program Cohort is a specific run of a Program, like the spring session of a course. Program Cohort Member is the junction that puts an enrollment into a cohort, so someone can leave a cohort without losing their enrollment history. Cohorts require the Advanced Program Management license.

  • Benefit Assignment links a Benefit to the enrollment, meaning what this person is entitled to receive.

  • Benefit Disbursement records each actual delivery of that benefit and points back to both the assignment and the enrollment.

Benefits of Program Enrollments

The payoff: a case manager opens one constituent record and sees the whole arc, every program, every service, in one place. Leadership can answer what funders actually want to know and highlight individual clients and their journey with your organization. A family showing up in three programs isn't double-counting.

Reporting is another place where Program Cohorts earn their keep. Group every constituent who started a specific course into a single cohort, and outcome reporting stops being a hand-built pivot table. Leadership can pull statistics such as completion rate, average sessions attended, or stipend dollars disbursed for that exact cohort on demand whenever a funder or board asks. That's the difference between telling a funder "we think it's going well" and telling them "78 percent of the spring cohort completed all 12 sessions and 40 percent had a job offer within 90 days."

That same unified record is where Salesforce shines beyond just normal program delivery. Once a constituent's program history is in one place, it naturally connects to the rest of their relationship with your org: donations they've made, events they've volunteered at, and the outcomes they've achieved. A case manager can see that a former job-training client now volunteers at intake, or that a housing program graduate has become a recurring donor. That connective tissue between programs, fundraising, and volunteering is what turns scattered data into a real picture of impact, and it's the piece most spreadsheet-based systems can't touch.

Conclusion

Program Enrollments give every person you serve a single record across all programs. Case managers see the full journey, cohorts turn outcome reporting into numbers you can pull on demand, and the same record connects program participation to giving and volunteering. The result is a clearer picture of impact for your team, your board, and your funders.
